Prerequisites Before Setting Up Purchase Orders

Before you set up purchase orders, you need to get the core purchasing and finance settings in Business Central in place. If those basics are not right, the whole purchasing flow can get messy, even if later steps are done correctly. In short, these core configurations help purchase transactions move smoothly through the system.

  1. Make Vendor Cards

Every purchase order needs a connection to a vendor.

  • For each vendor, you should fill in things like the vendor’s name, payment terms, currency, posting groups, contact information, bank details, and the tax setup.

When vendor records are clean and consistent, it becomes easier to manage purchasing

  1. Configure Items

Purchase orders also depend on item records.

  • Each item should have the number, description, unit cost, unit of measure, the relevant vendor information, inventory posting group details, and any replenishment information you use.

When item data is kept in decent shape, it tends to lower purchasing errors noticeably.

  1. Configure Inventory

Inventory settings configure how purchased items flow to stock.

  • Configure your locations, warehouse, inventory posting groups, and item tracking so the purchased goods appear properly in the inventory.

To reflect the receive items in inventory correctly.

  1. Configure Posting Groups

Posting groups determine where those purchase entries appear in your financial accounts.

  • Some key posting groups are the General Business Posting Group, Vendor Posting Group, Inventory Posting Group, VAT Posting Group, and General Product Posting Group.

This setup enables accounting accuracy.

  1. Enable Purchase Approvals

If you need a purchasing approval process, implement workflows before your employees make purchase orders.

  • These are easily adjustable for purchase value departments and user vendors and location. This allows your business to establish controls for spending in line with their requirements.

The process increases control and purchasing security.

Step-by-Step Purchase Order Setup in Dynamics 365

After you have wrapped up the required purchasing setup, all those vendor configurations, you can finally start drafting purchase orders inside Dynamics 365 Business Central. Below are the basics to keep the whole flow going, from the initial purchase order entry all the way to posting the vendor invoice.

Step 1: Create a New Purchase Order

Go to Purchasing > Purchase Orders, then select New, to make a fresh purchase order.

You will land on a blank purchase order, where you need to type in the details for the transaction.

Step 2: Select a Vendor

In the Vendor field, select the supplier from your existing vendor list.

Business Central then fills in important vendor facts, like

  • Payment terms, currency and shipping address and vendor posting groups.
  • It may also bring in purchase prices if those were configured.

This can reduce manual work; it also helps keep things steady across different purchase orders.

Step 3: Finish the Purchase Order Header

Next, go ahead and fill in the purchase order header with the necessary details. Such as:

Order Date, Expected Receipt Date, Vendor Invoice Number (if it is available), Purchaser Code, Shipment Method, and Location Code.

Having the right info here really matters because it supports smooth purchasing, receiving, and inventory management.

Step 4: Add Purchase Line Items

Now open the Lines section, and then add the products, or the services you plan to buy.

For each line, you enter things like: Item or G/L Account, Quantity, Unit Cost, Line Discount (if applicable), Location, and Dimensions. If it is needed, include a Job Number.

Business Central will also calculate line totals, taxes, discounts, and the overall purchase order value for you, so there is less manual work. That also helps with accuracy and keeps everything in sync.

Step 5: Check over the Purchase Order

Before moving next, take a moment to review the purchase order to ensure all information is accurate in proceeding.

  • Make sure to verify the vendor details, item quantities, pricing, delivery location, expected receipt date, and payment terms.

A quick review helps prevent buying mistakes, and it also reduces the chance you will need corrections later.

Step 6: Submit Purchase Order for Approval

If your company utilizes approval workflows, select Send Approval Request (or the most appropriate option based on your company).

The Purchase Order is automatically routed to the specified approvers via Business Central according to the defined workflow guidelines, maintaining purchase controls and compliance.

Step 7: Forward The Purchase Order to The Vendor

The purchase order can then be forwarded directly to your vendor within Business Central once approved.

Based on your setup, this can be achieved by: Sending via email, PDF, and Electronic Document Exchange (EDI).

By sending purchase orders directly through the system, you improve purchasing traceability and vendor communications.

Step 8: Receive the Purchased Items

When the ordered goods arrive, open the purchase order and choose Post > Receive.

Business Central will do its thing automatically:

It updates the inventory quantities, records the purchase receipt, and makes warehouse entries if warehouse management is enabled. Also, it updates your purchase history.

That way, your inventory records stay accurate and up to date.

Step 9: Post the Vendor Invoice

After you have received the supplier’s invoice, you will go to the purchase order and then select Post > Invoice or you may select Post > Receive and Invoice if you want to process both steps together.

Business Central will automatically update your general ledger, accounts payable, vendor ledger, and inventory value.

Your purchase order is complete, and your books and records are reconciled.
